Summary
Commence CRM allows you to use your Gmail account when setting up your Email account. Each logged in user should configure CRM with their own Gmail address.

Premium Email is available with the Enterprise edition of Commence On-Demand. Once configured, incoming messages to your Gmail address can be viewed directly in Commence in the Email module. If the emails are tagged, then they are also displayed under the Email History for your Accounts & Contacts.

If the Marketing module is available, each Commence user can select their configured Gmail account as the From Name and Reply To address when performing mail merges with email templates.

Enable IMAP in Gmail

If you use folders in Gmail, you can enable IMAP. This allows Commence CRM to read mail from your Gmail inbox and other folders. This is a more advanced configuration than using POP and could potentially exceed your email storage limits in CRM. Please consult with your Commence account manager to verify you have enough storage space to do this.

  1. Login to your Gmail account.
  2. Open the Settings screen. The Settings button is found in the upper right corner next to the Sign out button.
  3. Open the 'Forwarding and POP/IMAP' page under Settings.
  4. Enable IMAP. 
  5. You have the option to archive messages on your email server. This is the recommended setting.
  6. You have the option to set Folder Size Limits. This is also recommended to reduce the amount of email storage you will need in CRM.
  7. Don't forget to click Save Changes when you're done.

Adding your Gmail account in Commence OnDemand (Premium Email)

  1. Login to Commence OnDemand with your regular user account.
  2. From the Additional menu, select Preferences.
  3. Select Email from the preferences listing.
  4. Select Accounts from the Email preferences listing to view all of your email accounts.
  5. To add your Gmail account, select the New Account button.
  6. Enter the required information using the guidelines below. Remember to select the Save & Close button to save the email account when you are finished entering your information.

Email Account Details - General tab

Open the General tab to configure your user information, server information, and logon information for your Gmail account.

User Information

Account Name: Enter your name as you would like it to appear in the From: field of outgoing messages

E-Mail Address: Enter your full email address (including @gmail.com or @your_domain.com)

Reply E-Mail: Enter your full email address (including @gmail.com or @your_domain.com)

Server Information

Account Type: Choose IMAP as your server type

Incoming Mail Server: imap.gmail.com

Leave Messages on Server: Enabled or disabled
Your Gmail settings determine whether or not messages stay on the server, so this setting in Commence won't affect how Gmail handles your mail.

Outgoing Mail Server (SMTP): smtp.gmail.com

Logon Information

User Name: Enter your full email address (including @gmail.com or @your_domain.com)

Password: Enter your Gmail password

A sample screen shot is included below for your convenience to demonstrate where to enter these settings. Replace the fictional name and email address with your own settings.

Email Account Details - Advanced Settings tab

Open the Advanced Settings tab to configure the Gmail server information. Aside from your user name and password, all other information must be entered exactly as shown in the chart below.

Note the User Name (for Outgoing Server) must be entered exactly the same as the email address (including “@gmail.com” or “@your_domain.com”). This requirement is set by Gmail. Also note the Outgoing Server (SMTP) port should be configured on port 465 (with SSL).

Server Port Numbers

Incoming Mail Server (IMAP): 993

This server requires an encrypted connection (SSL): Yes, Enabled

Outgoing Server (SMTP): 465

Use the following type of encrypted connection: Choose SSL & TLS, or just SSL

Outgoing Server

Outgoing Server  (SMTP) Requires Authentication:  Enabled

User Name: Enter your full email address (including @gmail.com or @your_domain.com)

Password: Enter your Gmail password
