Q11088 - PRB: Commence Workgroup does not synchronize new records

Problem
Commence Workgroup does not synchronize new data records.  However, the modification of existing records continues to synchronize throughout the workgroup. This also applies to standalone users who use sync link to synchronize data records to a remote database.

Cause
The addition of new records is incorrectly written to the Commence synchronization transaction log (synclog.pim).

Status
The resolution to the issue regarding synchronization involves two components:

    * Restarting the synchronization process
    * The resynchronization of data from the date and time the problem occurred

A service pack to address both issues is now available via the Commence web site under the customer advisory section. Shared and local data added after March 19, 2006 will be resynchronized to the server using the data resynchronization utility provided in the RM(d) SP1 release.

Workaround

Workgroup Sync

For users in a workgroup, if you have not yet applied the RM(d) service pack it is recommended that you configure all Commence clients to add shared items locally. This is done by setting the local item Preference.

Setting the local item preference

For Commence Designer Edition, select Customize -> Preferences -> Database.  Remove the checkmark for the 'set shared checkbox by default' option

For Commence Application Suite, select Edit -> Preferences -> Database.  Remove the checkmark for the 'set shared checkbox by default' option

Sync Link

Until the RM(d) service pack has been applied to both the base and the remote datatase, users should temporarily stop sync linking to the remote database. This will store the changes locally. After the service pack is installed you can resume the normal sync link process. If you have already attempted to sync link some new data, these items will need to be resynchronized.

Applies to
  • Commence RM 3.1
  • Commence RM 3.0
  • Commence RM 2.1
  • Commence CRM Application Suite (all versions)

I changed the date of the server, ..and on a remote computer, also Feb 2006, completed the file transfer and all works fine. Both can create new records that are seen at each computer. Commence Comment: Changing the system date is not recommended. Please use the related external link to download the service pack. This will resolve the sync issue. Approved: Monday, April 24, 2006
We are running an obsolete version of Commence - 4.1. Works fine, but we lost the ability to sync new records sometime after 3/17/06. As nothing else changed, we are a little stumped. Is this related to an automatically loaded Microsoft Hot Fix/patch? Commence comment: Please see the related CommenceKB article Q11091 Approved: Tuesday, April 4, 2006
Thanks for keeping us up to date. I can appreciate the pressure you are under. Keep up the good work. Bruce Reid Fitzpatrick Approved: Friday, March 24, 2006
I could not figurei out -- at least, based on what was said here -- if a supported version of Commence that is a "stand alone" version (but uses synclink with a notebook pc, for example, that gets taken home) is affected. Im thinking it doesnt, but Id like to see that in print. Thanks for your efforts. Commence comment: The article has been updated to include more information for sync link users. Approved: Thursday, March 23, 2006
How about giving us some time frames? Commence comment: The Customer Advisory page (accessible from the home page) is where the latest news and updates from Commence Corporation are being posted. Approved: Thursday, March 23, 2006
What about the local items that you intend to keep local? Commence comment: The Data Synchronization utility in the RM(d) SP1 release has been enhanced to process only the local items that were added after March 20th. The workaround to share all items is no longer necessary. Approved: Thursday, March 23, 2006

The disadvantages of the workaround not pointed out. Commence comment: Using the Edit - Share All Items command without the appropriate filters would have shared all local items including private items added before the problem occurred. The workgroup data synchronization utility has been designed to specifically target just the local items added after March 19th. Approved: Wednesday, March 22, 2006
This still doesnt answer *most* questions. 1. Will the fix correctly syncronize all databases, even if there has been an interim attempt to syncronize which didnt work due to the bug? 2. Is the fix expected (obviously subject to testing) in a few days, a few weeks, or a few months? What is the *earliest* time that a fix *might* be available? 3. Does it matter whether the "work around" is used, or not? Commence comment: Yes, all interim data will synchronize properly after the service pack is applied, whether the workarounds were used or not. Check the customer advisory page of our website for updated release notes and time frames. Approved: Wednesday, March 22, 2006
It has taken some time before we were aware of the problem and even more time before the suggestion of adding items as local was given. So a lot of records have been added ... How can we know that we have complete database integrity throughout the workgroup?? Commence comment: The data synchronization tool will identify and synchronize shared and local data that was added in the interim. Approved: Wednesday, March 22, 2006
After unchecking the set shared checkbox by default option, each record I added, still made the item shared....anything else I need to do? Commence comment: An agent may be modifying the data. Check the message log to review what happens after the item is saved. Approved: Tuesday, March 21, 2006
We use Commence RM 3.0 (SP1)? We have the same problem here. is this workaround solution aplicable for us?. Commence comment: RM(d) SP1 is an upgrade to your RM SP1 version. Applying this new service pack will correct the sync issues and resynchronize data as needed, whether you tried the workarounds or not. Approved: Tuesday, March 21, 2006
